1. Introduction
Welcome to CK Time System. These Terms and Conditions govern your access to and use of our timetable management platform (“the System”), accessible via our website and mobile interfaces.
By accessing or using CK Time System, you agree to comply with and be legally bound by these Terms. If you do not agree, you must not use the System.
2. Definitions
- System: CK Time System platform
- User: Any individual accessing the system (students, teachers, administrators)
- School: An institution registered on the platform
- School ID: A unique identifier assigned to each registered school for access and management within the system
- Admin: A user with authorized control over school data, including timetable management, user assignments, and system configuration
- Viewer: A user with limited access rights, typically allowed to view timetables and related content without editing permissions
- Content: Schedules, messages, suggestions, data, images, and any uploaded material
- Weekly Report: A downloadable Excel report generated by the System, accessible by the School Admin, containing ratings and performance summaries of all or selected lessons conducted within a given week (Monday to Sunday).
- Classes: Organized groups of students within a school (e.g., Senior 1, Senior 4) used for timetable allocation.
- Subjects: Academic disciplines or courses assigned within the timetable (e.g., Mathematics, Physics).
- Users: All individuals registered in the system including students, teachers, administrators, and class leaders.
- Teachers: Registered educators assigned by the School Admin to conduct lessons and manage schedules.
- Class Leaders: Student representatives registered by the School Admin with limited system privileges such as viewing and monitoring schedules.
- Suggestion Box: A feature within the System that allows users to submit feedback, complaints, or ideas, optionally anonymously, to the school administration.
- Suggestions: Messages, feedback, or recommendations submitted through the Suggestion Box feature.
- Schedule / Lesson: A structured time allocation indicating when a subject is taught, including the assigned teacher, class, and time slot.
- Special Event: A non-regular scheduled activity such as exams, assemblies, sports events, or meetings that may temporarily alter the normal timetable.
- Password: A confidential security credential used by a User to access their account, which must be kept private at all times.
- Subscription: A paid or authorized access plan that allows a school to use premium features of the System for a specified period.
- Subscription Expiry: The date or time at which a school’s access to the System or its premium features is automatically restricted due to the end of a subscription period.
- Status: The operational condition of a school account within the System, which may include:
- Active: Fully functional with access to all permitted features
- Expired: Subscription period has ended and access is restricted
- Deactivated: Access has been manually disabled by the system administrators
- Not Approved: Registration is pending approval and access is not yet granted
- Feedback: Information, opinions, suggestions, or reports submitted directly to the developer of CK Time System to improve functionality, performance, and user experience.

Feedback Usage and Transparency:
- Users are strongly encouraged to regularly share feedback to help improve the system
- For users within registered schools, feedback submissions automatically include user details such as:
- School Name and School ID
- User ID
- User Name
- User Category (e.g., Teacher or Class Leader/Monitor)
- For users accessing from the public/home page, details must be entered manually
- The developer may respond to feedback through:
- The system (for registered users)
- External communication methods such as email or phone calls where contact details are provided
- Selected feedback may be published on the CK Time System website to improve transparency and trust
- Users may request that their name is not displayed publicly; however, the feedback content itself may still be published

Role of Class Leaders/Monitors:
Class leaders (monitors) are responsible for submitting lesson ratings and feedback to assist school administrators in evaluating teaching and scheduling effectiveness.

Suggestion Box Safety:
- All suggestions submitted to school administrators are anonymous to ensure user safety
- School administrators may block or remove suggestions without prior notice
- Administrators may restrict users who misuse the suggestion box for abusive or inappropriate content
3. Eligibility
- You must be authorized by your school OR registered properly
- You must provide accurate information
- You must not impersonate another individual
4. User Accounts
- Users may be required to create accounts
- You are responsible for maintaining confidentiality of your login credentials
- You agree to notify us immediately of unauthorized access
We reserve the right to suspend or terminate accounts that violate these Terms.
5A. Password and Account Recovery
Admin Password Recovery:
If a School Admin forgets their password, they must contact the system developer using the official contact details provided in this document. Identity verification may be required before access is restored.
User Password Recovery:
If a User (administrator, teacher, or class leader) forgets their password, they must contact their respective School Admin for assistance. CK Time System does not directly reset user-level passwords without admin involvement.
5. Use of the System
You agree to use CK Time System only for lawful purposes. You must NOT:
- Upload false or misleading timetable data
- Interfere with system functionality
- Attempt unauthorized access to other users' accounts
- Use the platform for harmful, abusive, or illegal activities
6. School Responsibilities
- Ensure timetable accuracy
- Assign authorized personnel (teachers, monitors) responsibly
- Monitor student use where necessary
CK Time System is not responsible for incorrect schedules entered by schools.
7. Suggestion Box Feature
- Suggestions submitted may be anonymous
- Schools are responsible for handling suggestions appropriately
- We do not guarantee responses to submissions
We reserve the right to remove inappropriate content.
8. Data and Privacy
We collect and store user data including:
- Names
- School details
- Timetable information
- Usage activity
Your data is handled in accordance with our Privacy Policy.
We do NOT sell user data to third parties.
9. Intellectual Property
All content, design, branding, and system functionality belong to CK Time System.
You may not:
- Copy
- Modify
- Distribute
- Reverse engineer
Without prior written permission.
10. System Availability
We aim to provide continuous access but do NOT guarantee:
- Uninterrupted service
- Error-free operation
We may perform maintenance or updates without prior notice.
10.1. Subscription and Access Control
Certain features of CK Time System may require an active subscription. Schools are responsible for maintaining valid subscription status.
A subscription countdown may be displayed on the School Admin dashboard indicating the remaining access period.
When the subscription reaches expiry (countdown reaches zero):
- Access to the system will be restricted for all users under that school
- Timetable viewing and system interaction may be disabled
10.2. Advertising Policy
CK Time System may display advertisements through third-party services such as Google AdSense.
- Advertisements will be shown to schools that are using the platform without an active paid subscription
- No advertisements will be displayed to schools with an active subscription
- The Admin dashboard will remain ad-free at all times to ensure focus and usability
10.3. System Features, Feedback Control, and Updates

The developer reserves the right to block or restrict feedback submissions from users who misuse the platform for insults, abuse, or inappropriate content.

Schools and administrators are responsible for maintaining respectful and appropriate use of the suggestion box feature.

New features and system improvements may be introduced at any time without prior notice.

Schools with active access to the platform will automatically benefit from newly introduced features at no additional cost, unless such features are introduced as premium services after initial deployment.
11. Limitation of Liability
CK Time System shall NOT be held liable for:
- Incorrect timetable data
- Missed classes or scheduling conflicts
- System downtime
- Loss of data
12. Termination
- Suspend accounts
- Remove schools
- Restrict access
If Terms are violated.
13. Changes to Terms
We may update these Terms at any time. Continued use of the system means you accept the updated Terms.
14. Governing Law
These Terms shall be governed by the laws of Uganda.
